2017 Venice Family Clinic’s Art Walk & Auctions: Volunteer Role Descriptions

It takes over 400 volunteers to make this event possible, helping with pre-event preparations in the weeks leading up to the Art Walk as well as during the event itself on Sunday, May 21st.

Volunteer Role Descriptions

Event Set Up [Early Morning Shift]
Assist by setting up for our big event and putting together all of the last-minute touches. *Requires Heavy Lifting

Event Clean Up [Late Evening Shift] **HIGH NEED**
Main responsibility is for the efficient and accurate marking of all the unsold and sold art after the Silent Auction. Duties Include: sorting, labeling, packing, and loading all sold/unsold art into the trucks as well as general clean up the facility. Will assist VFC staff in returning all art back to the Clinic at 604 Rose in Venice. *Requires Heavy Lifting; Shift Ends at 10pm or later

Community Celebration [Morning & Afternoon Shifts]
(aka Food Fair, Artisan Booths & Imagination Station for Kids) Volunteers may fill a variety of roles ranging from assisting the various booths on Hampton Drive to supporting the family-friendly area of the event (formerly known as the Family Fun Day).

Info Booth Docents [Morning & Afternoon Shifts]
With 4,000 people expected to attend, the event will have plenty of attendees asking where to go, what to do, and how to get involved. Volunteers here will help direct the 4,000 attendees and address any question or concern that might come their way!

Merchandise and Raffle [Morning, Afternoon, and Evening Shifts]
You are responsible for selling merchandise (shirts and posters) as well as raffle and drink tickets. Please bring your customer service A-game, you help fulfill orders and process payment at each booth. Pre-Event Training HIGHLY encouraged. *Previous experience operating credit card machines preferred

Parking Info Docents [Morning, Afternoon, and Early Evening Shifts]
In this role, you will be one of the first friendly faces that each attendees and volunteers will see! Please give a warm welcome to everyone that come to park in your lot, answering questions along the way.

Silent Auction Data Entry [Afternoon & Early Evening Shifts]
This position requires detail-oriented individuals that are comfortable functioning in a high-paced environment. You will be entering information as people bid in the silent auction. *Swift typing skills required

Ticketing and Bidder Registration [Morning-Evening Shifts] 
This is a fast-paced role that is key to the success of this event, so we need the best and the brightest to help out! This role entails working with some of our A-list guests by registering pre-paid attendees and comps from the provided lists.

Volunteer Check-In [Early Morning, Morning, and Afternoon Shifts]
Assist the Volunteer Management Staff in coordinating the 400 volunteers that are generously donating their time to the event. This includes check-in, directing them to their assigned locations, and providing volunteers with their materials (shirt, snacks, water, etc.).
